Accounts Payable Specialist

Reports to:                CFO & Director of Accounting

Job Purpose:             To ensure accurate and efficient recording of daily transactions for all grants & programs related to our organization.

Hours:                          40 hours a week,full-time, non-exempt     

Essential Functions and Basic Duties:

Position Specific    

  • Review and verify invoices and check requests
  • Sort and code invoices by funding source for payment
  • Enter invoices in Quickbooks for multiple state, federal and private grant or contract funding
  • Research and resolve invoice discrepancies, issues or inquires assigned by Director of Accounting through correspondence via phone or email
  • Copy invoices/receipts for several grants/contracts monthly after Coordinator of Grants/Budgets has sorted by invoice
  • Reconcile and enter all credit card receipts into Quickbooks monthly for multiple credit payments
  • File all invoices/bills monthly in vendor files after Coordinator of Grants/Budgets completes the monthly invoicing process
  • Update vendor files each July and add new vendors as needed throughout the fiscal year
  • Update yearly vendor files
  • Assist Director of Accounting and Coordinator or Grants/Budgets with monthly end closing
  • Assist with compiling supporting documentation for audits
  • Assist with invoices/bills payment

Other Responsibilities

  • Assist with Federal In-Kind match allocation and allocate each bill/invoice according to the Coalition budget unless the budgets change or a budget revision is approved
  • Must understand how each budget support the overall Coalition budget
  • Ability to follow Accounting Policies & Federal Regulations
  • Any other duties deemed necessary by the CFO and Director of Accounting to fully develop and to facilitate the operation of the Children’s Coalition for Northeast Louisiana.

Qualification Requirements:

  • College degree or
  • High School diploma with minimum two years of accounts payable/general accounting experience in the non-profit or governmental industry
  • Must be detailed-oriented and have ability to prioritize according to importance
  • Proficiency in QuickBooks
  • Must comply with confidentiality rules and use good judgment
  • Working knowledge of Microsoft Excel, Access, Word and Outlook .
  • Excellent organizational, verbal and written communication skills.
  • Must be proficient in typing and 10-key
  • Ability to work in a dynamic work environment that may require some evening and weekend work to meet deadlines.
  • Self-motivation and multi-tasking capabilities.
  • Must be team oriented and able to communicate financial information clearly to the administrative team or program supervisors
  • Must be able to work under pressure and meet strict deadlines
  • Understanding and demonstration of cultural competency.

Home Visitor  

Serves as a home visitor for Early Head Start infants and toddlers, planning, implementing, and supervising home-based activities. Will travel to children’s home environment.   Must have reliable transportation.  Must be available to work a minimum of 40 hours per week.

Minimum requirement is a current CDA credential [home-based setting preferred] upon employment.   AA/BA degree in Early Childhood Education or related field preferred as long as credits or continuing hours are included.

Program Aid (Substitute)

Assists staff in the center with children ages birth to three years, kitchen aide and janitor.  This is an as needed position.  High school diploma or GED required.

Early Childhood Mental Health Specialist

32 hours per week

Job Requirements:

Education & Experience – Minimum requirement of a Masters or PH.D in Counseling, Social Work, Psychology or closely related field.  Appropriate licensure to practice mental health counseling is preferred. 

Minimum of of 2 years direct experience in mental health setting providing prevention services and/or mental health therapy to children and families.

Skills:

  1. Visit each center at least once a week for observations and assessments.
  2. Provide child development information related to social-emotional development and mental health.
  3. Provide guidance to staff on selecting, implementing, and interpreting social-emotional screening and assessment tools and findings
  4. Provide guidance and model developmentally appropriate activities for children and effect ways to work with and support young children.
  5. Provide staff training.
  6. Strong oral and written communication skills
  7. Good computers skills, including knowledge of Microsoft Office, Excel,

Early Head Start Infant/Toddler Teacher

Serves as a lead teacher (aka caregiver) in a classroom of Early Head Start infants and toddlers, planning, implementing, and supervising center-based activities.  May be reassigned to various classrooms/centers as deemed necessary for program operations. 

Skills:

  • Excellent oral and written communication skills
  • Ability to organize, coordinate and direct projects
  • Proficiency in Microsoft Office – Word, Excel, Outlook

Minimum Child Development Associate (CDA) with infant/toddler endorsement or have equivalent coursework in age appropriate early childhood and child development to a level that meets or exceeds the CDA credential.
